Endometriosis UK is a national charity providing vital support, information, and advocacy for people living with endometriosis. Through helplines, local support groups, expert resources, and awareness campaigns, the organisation works to improve understanding of the condition and ensure that those affected have access to reliable guidance and community support. Much of their work relies on efficient digital systems for collaboration and resource sharing across staff, volunteers, and service users
Endometriosis UK required a modern, efficient, and scalable SharePoint environment to support its expanding operational needs. The existing SharePoint setup had become outdated and difficult to navigate, with data spread across various areas and inconsistencies in structure. A new SharePoint communication site was needed to provide a clearer, more intuitive platform for daily work.
The project involved restructuring and mapping data from the previous site to a new SharePoint environment, following the data mapping provided by the organisation. Alongside this, the legacy site needed to be isolated by removing all user permissions. Device syncs also required updating so that staff would connect only to the new site going forward. The challenge was to complete this work with minimal disruption, ensuring continuity of access while improving the overall structure and usability of the platform.
We began by building a completely new, modern SharePoint communication site tailored to the organisation’s needs. This new site, accessible via the updated SharePoint URL, provided a stronger foundation for storing documents, sharing content, and improving navigation across teams.
Using the customer‑provided data mapping, we restructured and carefully migrated content from the old SharePoint site to the new one. This work ensured that folders, libraries, and categories were logically positioned, easy to locate, and consistent with the organisation’s internal processes. The mapping file and permissions information contributed to accurate, efficient transfer of data.
Once the new site structure was in place, we removed all user permissions from the legacy SharePoint site. This prevented accidental use of the old environment and strengthened security while the transition took place. We then fully disconnected existing device syncs that pointed to the old site, and configured each device to sync with the new communication site. This allowed users to continue accessing documents via File Explorer without confusion or duplication.
Throughout the project, we provided clear guidance to help the team understand folder changes, adapt to the modern SharePoint interface, and make full use of the improved environment.
Endometriosis UK now benefits from a streamlined, modern SharePoint platform that significantly improves day‑to‑day productivity. The new communication site provides clearer navigation and more intuitive structure, allowing staff and volunteers to find and update documents more quickly. The reorganised data structure supports better workflows, reduces time spent searching for information, and enhances consistency across teams.
Security and reliability have also improved through the removal of permissions from the legacy site and the migration of all document syncing to the new environment. Staff can now access documents confidently, knowing they are working in the correct and most up‑to‑date location.
By modernising their SharePoint setup, the organisation has gained a flexible platform capable of supporting future growth, remote work, and evolving digital needs. These improvements strengthen collaboration and provide a more stable, efficient foundation for the important work the charity delivers.
