The Organisation
Long Covid Support is a UK-based organisation dedicated to improving access to information, community support, and resources for individuals living with the long-term effects of Covid‑19. The organisation works with a wide network of volunteers, health professionals, and partner groups to enhance awareness, share guidance, and ensure that those affected can stay connected and well supported across a variety of digital platforms.
The Challenge
The organisation needed to modernise its digital environment to improve collaboration, streamline file management, and enhance internal communication. Their existing workspace involved a mixture of tools and storage solutions, including a Google shared drive that had grown organically over time. This made it difficult for teams to work consistently, locate information quickly, and share updates across departments. The priority was to create a reliable and well‑structured SharePoint environment that aligned with best practice.
To support internal coordination, the organisation also required the setup of Microsoft Teams with suitable private channels to enable focused communication and secure discussions. The challenge was to deliver this upgrade with minimal disruption, ensuring that staff could transition smoothly to the new systems and access their data without difficulty.

The Approach
To achieve the required improvements, we built two new SharePoint communication sites designed around the organisation’s operational structure. These sites, named Long Covid Team and Covid‑19 Inquiry, provided a clear foundation for storing documents, sharing updates, and improving visibility across teams. Each site was structured to support easy navigation, efficient document organisation, and secure access controls.
We then migrated all data from the Google shared drive into the new SharePoint environment. This was completed carefully to maintain file integrity, preserve folder relationships, and eliminate duplication. The migration created a centralised hub where staff could find files consistently and collaborate in real time.
Alongside SharePoint, we configured Microsoft Teams to complement the new environment. Teams channels were created for general communication as well as private channels for restricted or sensitive conversations. This helped the organisation create a space for focused discussions while ensuring that key updates could be shared with the wider team.
