
Goods For Good is a purpose-driven organisation committed to empowering communities through sustainable initiatives and social impact programmes. Their operations rely heavily on digital tools to manage projects, share resources and communicate effectively across teams.
Goods For Good’s SharePoint environment had grown organically over time, resulting in a structure that no longer followed best practice. Our engineers identified several key issues: an unused default site that lacked a central hub for updates, limited use of pages and subsites leading to fragmented content, and reliance on default document libraries which restricted customisation and scalability. The security setup was overly complex, making it difficult to manage and potentially exposing vulnerabilities. Additionally, Teams-connected sites were not using unique groups for file permissions, and classic team sites were still in use, limiting access to modern collaboration tools. These issues collectively hindered productivity, collaboration and data security.
To address these challenges, we recommended a complete SharePoint restructure. The existing setup, which stored all data in default document libraries, was not aligned with best practice from a user experience, GDPR or security standpoint. Our solution involved migrating all content into a newly built modern SharePoint Communications Site, designed for long-term scalability and ease of use.
We created multiple, well-structured document libraries tailored to the organisation’s needs. This approach brought several benefits. Firstly, it reduced sync errors by shortening file path lengths. Secondly, it minimised sync cycles, improving performance. Users could now sync only the libraries relevant to them, enhancing efficiency. Security was simplified, with permissions applied at the document library level, making management more straightforward. Navigation was improved through logical structuring, and each library could have custom views and metadata tags, enabling better categorisation and searchability.
Throughout the process, we ensured minimal disruption to users and provided training to help staff adapt to the new environment confidently and effectively.
The SharePoint restructure has significantly improved how Goods For Good manages and accesses its data. Teams now benefit from a streamlined, intuitive layout that enhances collaboration and reduces confusion. Sync issues have decreased, and users experience faster, more reliable access to the documents they need.
