Oasis Domestic Abuse Service is a charitable organisation based in the UK, dedicated to supporting individuals and families affected by domestic abuse. With a range of services including refuge accommodation, outreach support, and educational programmes, Oasis works tirelessly to create safer communities and empower survivors to rebuild their lives.

The Challenge

Oasis Domestic Abuse Service identified a need to reorganise their existing SharePoint environment to better align with their operational structure. As their teams expanded and responsibilities became more defined, the existing folder structure no longer supported efficient collaboration or data management. Staff were experiencing difficulties locating documents, and there was a lack of clarity around access permissions. The organisation wanted to implement a more intuitive folder hierarchy that reflected team functions, while ensuring that the right users had access to the appropriate data. With the data migration being handled internally, Oasis sought external support to guide the restructuring process and provide training to ensure staff could confidently manage and sync their new SharePoint folders.

 

The Impact
After an initial consultation, we worked closely with Oasis to understand their team structure and data access requirements. The organisation had already defined the folders they wanted and assigned users to each, which provided a clear framework for the restructure. As they were managing the data migration themselves, our role focused on ensuring the SharePoint environment was configured to support their new structure effectively.
We prepared the SharePoint site to accommodate the new folder hierarchy, ensuring that permissions were correctly set for each team. This involved reviewing existing access controls and implementing group-based permissions to streamline management and reduce the risk of data exposure. To support the transition, we scheduled a one-hour training session for four to five key users. The training covered how to sync SharePoint folders to local devices, manage access, and navigate the new structure confidently. As no on-device setup was required, the session focused entirely on user interaction with SharePoint and best practices for maintaining organisation-wide consistency.
Our approach ensured minimal disruption to daily operations while empowering Oasis staff to take ownership of their digital workspace.
The Results
Following the restructure, Oasis Domestic Abuse Service reported a significant improvement in team collaboration and document accessibility. Staff were able to locate files more quickly, and the new folder structure provided clarity around responsibilities and data ownership. The training session equipped key users with the knowledge to support their teams, reducing reliance on external IT support and fostering a culture of digital independence.
By aligning SharePoint with their organisational structure, Oasis achieved a more secure and efficient working environment. The streamlined permissions also enhanced data protection, ensuring sensitive information was only accessible to authorised personnel.
