The Organisation

Bromley Y (Well Being CYP) is a community‑focused organisation supporting children and young people’s wellbeing across the Bromley area. With multiple teams working collaboratively to deliver vital services, Bromley Y relies on accessible, well‑structured information to support day‑to‑day operations. As the organisation continues to grow, it required a modern digital workspace that would enable staff to collaborate effectively, securely manage documents and access information quickly, regardless of location.

The Challenge

Bromley Y was operating from an ageing SharePoint Team Site that no longer met the needs of the organisation. Content had grown organically over time, resulting in inconsistent document structures, duplicated files and poor visibility of key information. Departments struggled to find the latest documents, and the existing site offered limited flexibility for sharing news, updates and guidance with staff.
In addition, legacy Intune policies were continuing to synchronise outdated content to staff devices, creating confusion and increasing the risk of staff accessing superseded information. Bromley Y required a refreshed SharePoint environment that was intuitive, scalable and aligned to modern ways of working, while ensuring a smooth transition for users and minimal disruption to service delivery.

The Approach

We worked closely with Bromley Y stakeholders to design and deliver a new SharePoint 2.0 environment that placed usability, governance and adoption at its core. Our first step was to understand how different departments worked, the types of information they accessed most frequently and how content needed to be structured to support daily operations.
A brand‑new SharePoint site, Bromley Y Connect, was built with clear departmental pages, each supported by its own dedicated document libraries. This ensured content ownership was clear and information could be organised logically from day one. We carefully planned and executed the migration of data from the legacy Team Site, ensuring files were transferred securely and with minimal downtime.
To support long‑term success, we delivered targeted training sessions for nominated “champions” and administrators, empowering them to confidently manage pages, update content and maintain the homepage. A short, accessible user training video was also created and shared with all staff to encourage adoption and reduce support requests.
Finally, we removed the legacy Intune policies that were synchronising old content to devices and safely archived the previous Team Site, ensuring staff were guided towards a single, authoritative source of information.

The Results

Bromley Y now benefits from a modern, structured SharePoint environment that supports collaboration and improves access to information across the organisation. Staff can quickly find relevant documents within their departmental areas, reducing time spent searching for information and improving productivity.
The new Pages functionality provides a central hub for updates, guidance and resources, helping teams stay informed and aligned. By training internal champions and administrators, Bromley Y has gained the confidence and capability to manage its own content, ensuring the platform continues to evolve with the organisation’s needs.
The removal of legacy sync policies has reduced confusion and eliminated the risk of staff relying on outdated information. Overall, the project has delivered a secure, user‑friendly digital workspace that supports Bromley Y’s mission and provides a strong foundation for future growth.
